How we measure
Your floods have a schedule. That makes them measurable.
Nobody at the desk can count what drowns while drowning. We call INTO the flood, on a timer, and write down what happens — which no practice has ever seen about itself.
The four axes
- Flood coverage (30%). What happens to a call landing in your worst window — answered, overflow-caught, instant text-back floor, or ring-out. Plus how many hours a day your desk runs at capacity.
- Recovery speed (30%). When a peak call is missed, minutes until that person gets a callback or text. Post-rush batching scores what the aging data says it deserves.
- Recovery persistence (20%). Whether the missed caller who doesn't answer the callback hears from you again — or joins the phone-tag graveyard.
- Channel relief (20%). Whether callers have any path around the flood — online booking, text-us, forms that actually get worked — against what's expected for your practice type.
The free score vs. the $500 first fix
The free score is what you tell us, labeled as that. The first fix is a week that ends with a floor under your flood. Days one and two: your floods baselined — timed test calls INTO your real peak windows, noon, 4pm, Monday morning, per your written permission, every outcome timestamped at the source: answered or not, rings-to-answer, hold time, what a missed call triggered, recovery lag. Days three and four: ONE fix from the menu below, built and running. Day five: the before/after in writing.
The menu (your report's worst axis picks)
- The Overflow Text-Back Install (flood coverage worst — most common). Every missed peak call instantly receives a text with a booking path and a promised callback window — "We're with patients — book here, or we'll call you at 12:50." The caller's next move stops being the next practice.
- The Recovery-Window Install (recovery speed worst). Missed peak calls enter an owned same-window callback queue — recovery in minutes, while the caller is still on lunch, instead of the post-rush batch that enters every race late.
- The Recovery Ladder (persistence worst). The missed caller who doesn't answer the callback hears from you again, automatically, until booked or declined — instead of joining the phone-tag graveyard.
- The peak-window map, always included — your flood, on paper, by hour, from your own phone logs. Most owners have never seen it.
One fix per $500, from this menu — the cap is what keeps the price honest. Scope beyond the menu (including the staffing question) is the full build, quoted in writing.
What we don't do
- Test calls are brief and ordinary — the kind your desk already fields hourly — and never book real slots. Every probe is identified to you after the window closes.
- No probes on hours you exclude. Permission is written and explicit.
- No padded findings. "Your desk holds at noon" is a deliverable we're glad to hand you, in writing.
